This Privacy Policy explains what we do with your data, and it describes how we collect, use and process your data and how we comply with our legal obligations towards you. Your privacy is important to us, and we are committed to protecting and safeguarding your data.

1. Who's collecting and processing your data

 

The process of any personal data collected by SLAVA-IT, or provided to it, is the responsibility of SLAVA-IT (legal person number 516 775 308) from Loures (Lisbon) with contact details at https://slavait.com#contacts.

 

2. How and what type of data is collected

 

Please note that you are not obliged to provide your data to SLAVA-IT or the data that SLAVA-IT may request. In this case, we may not be able to provide you with our services or answer any questions you may have.

 

SLAVA-IT may collect your data in different ways, namely when:

  • subscribe to our newsletter;
  • job offers;
  • references from colleagues or ex-colleagues;
  • workshops and partnerships to be contacted by SLAVA-IT;
  • you have a contract with us (employment, service or other);
  • fills in your customer form;
  • contact our customer support team.

 

If you are a candidate, we need to process some personal information about you to identify and get the best employment opportunities or services for you. We only ask for information relevant to us, such as your name, age, contacts, education, employment history, emergency contact, immigration status, financial information (when we need to carry out commercial contexts) and social security number. You may choose to share other relevant information with us, of course. When required and by law, we may also collect information or miscellaneous data about any criminal convictions.

 

If you are a client of SLAVA-IT, we need to collect and use information about you or people in your company within the scope of our service providers to provide a complete service so that our relationship contract can proceed correctly. In this way, we may ask you for personal data such as the name, email, function and contact number of employees for relevant services provisioning.

 

If you are a supplier, we need a small amount of information regarding your data to ensure that everything works correctly. We need the contact details for certain members of your company to interact and other bank details so that we can pay you for the services you are providing (if this forms part of the contractual agreements concluded between us). We may also have information that someone from your company has chosen to share.

 

When referring to suppliers, we mean any companies, such as independent contractors and self-employed, who provide services to SLAVA-IT. In some cases, SLAVA-IT will subcontract its services to customers from third-party providers who perform the services on behalf of SLAVA-IT. In this context, suppliers who are sole traders, self-employed or employees of suppliers will conduct as candidates for data protection purposes. Please note that, in this context, SLAVA-IT requires suppliers to communicate the relevant parts of this Privacy Policy (namely the sections aimed at candidates) to their employees.

 

Specific categories of personal data, such as those revealing racial or ethnic origin, political opinions, religious or philosophical beliefs, trade union membership, genetic and biometric data to uniquely identify a person, and data relating to health or relating to sex life or sexual orientation, are classified as "special categories of personal data" and benefit from additional protection under the General Data Protection Regulation (GDPR). SLAVA-IT limits as much as possible the circumstances in which it collects and processes these special categories of data, only doing it when we have given your consent. To provide our users with better performance and customisation of SLAVA-IT services, we may use cookies to customise services and the website according to your interests and needs, allowing you to streamline your future activities and your experience on the website. So, we may collect data relating to parameters and settings relating to the browser and operating system. During part of your navigation on the SLAVA-IT website, we may use software tools to measure and collect information about the session, page response times, errors of download, duration of visit to certain pages, information regarding your interaction with them, and the methods used to get out of them. We may also collect technical information to help us identify your device for fraud prevention and diagnostic purposes.

 

3. Purposes and grounds for the processing of your data

 

The purposes and grounds on which SLAVA-IT processes your data depend on your status as a candidate, collaborator or supplier.

 

If you are a candidate (which includes suppliers who are individual traders, self-employed or collaborators of suppliers), please note that your data will be collected and processed, in particular, for the following purposes:

  • Recruitment – includes recruitment activities to provide services or "back-office" functions, such as research and selection. In the case of service provision, there is an approach to current and potential customers of SLAVA-IT to find an opportunity, placement in SLAVA-IT, as well as related activities. In this context, it will also process data related to salary and human resources management;
  • Contract execution – includes activities such as entering into contracts with SLAVA-IT and partners, as well as communication with third parties involved in contracts (insurance companies, beneficiaries, intermediaries);
  • Development and improvement of services - includes activities necessary for the development and improvement of services provided by SLAVA-IT, activity analysis, and processing for potential future opportunities.

 

If you are a supplier or a customer, your data will be collected and processed for the following purposes:

  • Execution of contract – includes all the required activities about the contract for the provision of services, namely the processing of payments;
  • Communications – includes the contacts for us to contact you regarding our contracts;
  • Development and improvement of services – includes activities for the development and improvement of services provided to or by SLAVA-IT, activity analysis, processing for statistical and scientific purposes, as well as to offer you services or to get support and services from you;
  • Compliance with legal obligations;
  • In some circumstances, to help us declare, exercise or defend our rights.

 

SLAVA-IT may use third-party service providers who perform functions on behalf of SLAVA-IT, such as companies that host or operate the website, process payments, analyse data, and provide customer services and sponsors or other third parties. So your data may be processed by them for the purposes described in the current Privacy Policy. These third parties must process your data following this Privacy Policy and applicable law.

 

When we collect your data for the purposes described above or for other purposes, we try to inform you in advance or at the time of collection and take your consent whenever necessary to legitimise the processing of your data. Once you have provided your permission to process the activities, you have the right to withdraw anytime.

 

However, there may be some cases in which it is not your consent that legitimises the processing of your data, but one of the following grounds:

  • When necessary to conclude a contract with you or carry out its execution;
  • When necessary to fulfil the legal obligations to which SLAVA-IT is subject;
  • When necessary to achieve a legitimate interest by SLAVA-IT, which does not threaten your interests, rights and freedoms - this legal basis will only be used when there is no other less intrusive way to process your data. We guarantee that if legitimate interest is in use as a reason to process your data, we will keep a record of that action, and you will have the right to request this information;
  • When necessary for declaring, exercising or defending a right in a legal proceeding.

 

4. Security of your data

 

SLAVA-IT undertakes all possible measures to ensure the confidentiality and security of your data, carrying out all efforts and security measures to protect your data from misuse, loss, unauthorised access, modification or disclosure.

 

Our measures include implementing access controls, encryption, pseudonymisation and anonymisation of data whenever possible.

 

Access to your data is only permitted under the terms described above, always depending on the need for your knowledge, and subject to strict contractual confidentiality obligations when processed by third parties.

 

Although the transmission of your data through the internet or website cannot guarantee complete security against intrusions, SLAVA-IT and service providers will try their best to add and maintain physical, electronic and procedural security measures to protect your data in compliance with applicable data protection requirements.

 

5. Retention of your data

 

SLAVA-IT will only keep your data for the period strictly necessary to fulfil the collected purpose. In terms of data from the recruitment processes, we will retain them for 5 (five) years after the last contact with the candidate. In terms of data from our suppliers and customers, we will keep them for 5 (five) years.

 

6. Sharing your data

 

SLAVA-IT may share your data with our customers within the scope of technology consulting services.

 

As already mentioned in Point 3 of the current Privacy Policy, we may share your data with external service providers that perform functions on behalf of SLAVA-IT. We may also share them with companies currently subcontracted by SLAVA-IT and with service providers that we may use.

 

Under the terms of the applicable law, SLAVA-IT is obliged to disclose data to the Tax Administration, Social Security, the Working Conditions Authority, and, following court orders, to the judicial authorities.

 

7. International data transfers

 

SLAVA-IT shares personal data internally or with third parties for the purposes described in this Privacy Policy.

 

SLAVA-IT will only send personal data collected within the European Economic Area (EEA) to foreign countries in cases where this is necessary to comply with a legal duty and work with agents and consultants who help manage our business and services.

 

If we transfer your data outside the EEA, SLAVA-IT will ensure they are protected the same way as EEA. To this end, we will use one of the following safeguards:

  • Transfer to a non-EEA Country whose privacy legislation ensures a similar EEA personal data protection;
  • Implementation of a contract with the foreign entity that obliges it to protect personal data according to the same standards used in the EEA; or
  • Transfer of personal data to organisations with specific international data transfer agreements with the European Union (for example, the Privacy Shield, a framework that sets privacy standards for data shared between the United States and European countries).

 

8. Your rights

 

As we hold your data, you have a set of rights concerning them and how it is processed, which are the following:

  • Right of opposition – that is, the right to oppose anytime, for reasons related to your particular situation, to the processing of personal data concerning you, under the terms of the GDPR;
  • Right to information – that is, the right to be given concise, transparent, understandable and easily accessible information, using clear and straightforward language, about how we use your data and about your rights;
  • Right of access – that is, the right to have access at all times to your data);
  • Right of rectification – that is, the right to rectify inaccurate personal data concerning you or to complete them if they prove to be incomplete;
  • Right of limitation – under certain conditions, the data subject has the right to limit the processing of their data;
  • Right to erasure – under certain conditions, the data subject has the right to obtain from the controller the erasure of their data without justified delay;
  • Right of portability - that is, the right to receive the personal data concerning you and which you have provided, in a structured, commonly used and machine-readable format, as well as the right to transmit this data to another person in charge by treatment, under certain conditions;

  • Right to withdraw your consent – in this case, the withdrawal of consent does not compromise the lawfulness of the treatment carried out based on the consent previously given;

Your requests will be treated with special care so that we can ensure the effectiveness of your rights.

 

You may be requested to prove your identity to ensure that data sharing is with his holder.

Personal Data Protection Policy

 

The user, by Regulation (EU) 2018/1725 of the European Parliament and the Council, of 23 October 2018, on the protection of individuals concerning the processing of personal data by institutions, bodies and agencies of the Union and the free movement of such data, which repeals Regulation (EC) No 45/2001 and Decision No 1247/2002/EC, may revoke the consent given and exercise its rights of access, rectification, deletion, cancellation, opposition, limitation of treatment and portability under the terms specified in the legislation on data protection, sending a communication to the email address: rgpd@slavait.com indicating which channel or subject you wish to unsubscribe.
